Bilingual Answer Desk

Privacy Policy

This policy explains how we handle information from your account, website visits, and calls to your business. Read the details before using the demo, and use fictional caller information when you try it.

Who operates the service

TypeScience, trading as Bilingual Answer Desk, operates this website and the AI receptionist service. In this policy, we explain the information we collect and process when you visit, try a demo, open an account, or call a business using our receptionist.

Email privacy@bilingualanswerdesk.com for privacy requests and support@bilingualanswerdesk.com for account help. These contacts serve different purposes: a question about forwarding belongs with support, while a request to access or delete information belongs with the privacy contact.

Customers, visitors, and callers

We handle information about businesses that sign up, people visiting our website, and callers to customer businesses. Account and website information relates to your dealings with us. Caller information relates to a conversation with the business the caller intended to reach.

For those business calls, the customer decides what information to collect and why. We process caller information on that customer's behalf. The data processing terms within our service terms describe that relationship, including the customer's responsibility for its instructions and our handling of call records.

Account and billing information

We collect account details such as your name, business name, email address, and phone number. We use these details to provide and manage your account and communicate about the service. Your email address also supports the email sign-in process.

Our payment processor handles billing information. We do not store full payment card numbers. Subscription and usage information relates to managing the service you select, including the minutes shown in your dashboard and monthly billing.

Business instructions and website content

We collect your answers during onboarding and content from the website you direct us to. This information teaches the receptionist your services, service area, hours, price policy, intake questions, and urgent-call instructions. Updates you give the AI become part of the business settings used for calls.

These instructions can include the person who receives urgent calls and the order for reaching your on-call contacts. Supply the information needed to answer as your business, and review it when your business arrangements change.

Call information and recordings

We collect call audio, recordings, transcripts, summaries, and caller phone numbers. The receptionist uses the conversation and your instructions to take messages, identify urgency, book appointments, or prepare a callback. Your dashboard provides call records, and call alerts arrive by email and app push notification.

Calls, website and demo chats, recordings, transcripts and summaries of trial and customer accounts may be reviewed by authorized staff for quality, support and abuse prevention. Access is limited to those purposes.

The receptionist announces that it is a virtual assistant and that the call is recorded. With your bilingual greeting setting on, both disclosures open business calls in English and Spanish; we recommend enabling it during setup. With it off, they open in English and repeat in Spanish in the first reply after a caller speaks Spanish. Recording and virtual-assistant notices cannot be disabled through your account settings.

Names, addresses, phone numbers, and the caller's description of a request can appear in the record. For example, a Spanish-speaking caller may provide an address for a booking and hear it read back. The resulting record helps your business review the request and respond.

Demo calls and chats

We record and transcribe demo calls and chats on this site to show you the result. You can try the browser demo without signing up. The demonstration uses a fictional business, and you should use fictional caller details when testing names, addresses, or appointment requests.

Trying a language switch or a read-back creates demonstration content too. Keep that in mind before entering details about yourself, another person, or an actual customer. The demo is a way to evaluate the conversation before you configure a receptionist for your business.

Website analytics and cookies

We use privacy-friendly analytics and Google Analytics to understand visits and use of this website. Google Analytics uses cookies. Website analytics is a separate activity from handling the call records your business receives through its receptionist.

You can email privacy@bilingualanswerdesk.com with an opt-out request or a question about website information. Explain that your request concerns a website visit so we can distinguish it from an account issue or a call to a customer business.

Providers that help deliver the service

We use service providers for hosting and storage, telephone carrier services, AI models for voice and text, payment processing, email delivery, and analytics. These categories support the website, account operations, conversations, written call records, billing, and email communications described in this policy.

Voice and text processing involves AI model providers receiving conversation information as part of delivering the receptionist. Our AI model provider, OpenAI, does not use our API data to train its models by default. This default concerns model training; the providers still process information needed for the service.

Uses we exclude

We never sell personal information and never use callers' data for our own marketing. Processing a customer's business call serves that customer's call handling instructions. A caller's request for a booking or callback does not become a marketing contact for Bilingual Answer Desk.

Our separate lead follow-up add-on is for people who submit a customer's web form and tick a consent box naming that business. It is not a purchased-list service. Customers are responsible for their follow-up consent records and the instructions they provide.

Retention and deletion

Recordings remain for the period the customer business chooses: 30 or 90 days. We delete recordings after that period. The business can use this choice to match how long it needs recordings for call review.

Transcripts and summaries remain while the account is open and are deleted within 30 days after it closes or on request. A request concerning a recording, transcript, or summary should identify which type of record you mean. These retention periods describe the call records named here.

Access, correction, deletion, and opt-out requests

You can request access, correction, deletion, or an opt-out by emailing privacy@bilingualanswerdesk.com. Tell us whether you are an account customer, website visitor, demo user, or caller to a customer business. Include the relevant business and enough context to identify the information involved.

Callers may ask the business they contacted or contact us directly. The customer determines the collection and purpose of information in its business calls, and we process that information for it. California residents may also ask to exercise their applicable privacy rights through the same email contact.

Children and policy updates

The service is not for children under 13. Do not use the receptionist or demonstration to collect children's information for that age group. Questions about information already provided can be sent to the privacy email address.

Policy changes are dated on this page. Check the last-updated date when reviewing how the service handles information. You can also read our terms for using the service or review the call data controls before you set up your account.
